What's Included in the Budget Calculator?
Our free budget calculator for property investors includes three main tabs, each with a distinct function:
1. Monthly Budget (Main Entry Tab)
This is where you enter your expected income and expenses for the month.
2. Monthly Tracking Tabs (January to December)
These tabs are structured identically to the Monthly Budget tab, but are used to track actual monthly performance over time.
Simply duplicate your Monthly Budget entries each month, and adjust with real data.
3. Snapshot Tab (Summary Dashboard)
The Snapshot tab automatically pulls from your monthly inputs and summarises your:
- Total personal income and expenses
- Net personal income
- Net property income
- Total net income
- Annual totals across all months
This high-level view helps you make financial decisions faster and with confidence.
How to Use the Monthly Budget Calculator Effectively
Instructions for Using the Monthly Budget Tab
The Monthly Budget tab is your main data entry sheet. Use this section to record your monthly personal income and expenses, as well as income and costs related to each of your investment properties (up to six).
This tab gives you a clear picture of your net personal cash flow and the individual performance of each property. It also feeds data into your Snapshot tab for year-to-date tracking.
1. Enter Your Monthly Personal Income
In the Monthly income section on the left:
- Input your regular income sources (e.g. salary, freelance, side business)
- Use one row per source to keep things organised
- The total will auto-calculate in the "Total monthly personal income" row
This amount reflects your monthly take-home income before expenses.
2. Enter Your Personal Expenses
Under Monthly expenses, input your planned or actual spending across key categories such as:
Housing
Transportation
Insurance
Food
Pets
Personal care
Entertainment
Loans
Taxes
Savings or investments
Gifts and donations
Legal
Each category includes specific line items (e.g. electricity, groceries, gym memberships) to help you be as accurate as possible.
The sheet automatically calculates subtotals for each category and your net personal income (income minus total expenses).
You can choose to:
- Use these values as budget estimates, or
- Enter actual spending figures as the month progresses
3. Enter Property Income and Expenses
Each investment property is listed in a separate column. For each one:
Add the property address or name at the top of the column
Enter the rental income for that property
Fill in relevant expenses:
- Loan repayments
- Property management fees
- Taxes (e.g. council rates)
- Insurance
- Utilities
- Maintenance and repairs
- Other recurring costs (as needed)
The sheet calculates the total monthly income and the net income for each property (profit or loss).
- Negative net income = cash flow negative
- Positive net income = cash flow positive
If you don’t currently own all 6 properties, simply leave the unused property columns blank.
4. Understand the Outputs
At the bottom of each section:
- Net personal income shows whether you're in surplus or deficit after personal income and expenses
- Net income per property shows the profit or loss on each investment
- These figures flow into the Snapshot tab for annual tracking
- Be as detailed and realistic as possible when entering your numbers
- For annual or irregular costs, divide them into monthly equivalents
- Review and update this sheet regularly (e.g. once per month)
- Consider adding notes to track unusual months (e.g. maintenance events or rental vacancies)
- If needed, customise categories or add more detailed line items based on your lifestyle or investment needs
Instructions for Using the Snapshot Tab
The Snapshot tab gives you a clear, at-a-glance view of your overall financial position each month and across the year. It is primarily view-only — the figures in this tab should automatically update based on data you’ve entered into other parts of the spreadsheet (such as income, expenses, and property sheets).
Here’s how to use it effectively:
1. Understand the Layout
This tab is divided into three key sections:
Monthly Income
Monthly Expenses (by category)
Summary Figures:
- Net Personal Income
- Net Property Income
- Total Net Income
Each row is calculated on a monthly and annual basis. The final columns (Total Budget, Annual, and Difference) give you a full-year summary.
2. Input Your Data in the Appropriate Tabs
You don’t need to manually input anything into the Snapshot tab itself.
Instead:
Go to the Monthly Budget tab
Fill in your actual monthly values
The Snapshot will automatically update to reflect your inputs
For example:
- If you update your rental income in the property sheet, the Net Property Income here will change
- If you record a new insurance expense, it will flow into the Insurance row
3. Track Monthly Performance
As you fill out each month:
- Compare your budgeted figures to your actuals (if you add that feature)
- Use this tab to see how much you’re overspending or underspending
- Look at your Net Personal Income to understand your lifestyle affordability
- Use your Net Property Income to determine if your property is positively or negatively geared
4. Check the “Difference” Column
The Difference column shows the gap between what you earn and what you spend or budget.
- A positive figure indicates surplus income or profit
- A negative figure highlights a shortfall or deficit that you may need to address
5. Use the Data for Strategy
This summary is designed to give you the insights you need to:
- Adjust spending in real-time
- Understand your cash flow position before purchasing property
- Model future investment scenarios
- Align your financial habits with your long-term goals
- If you receive irregular income (e.g., FIFO work), be sure to average your income across months for a more consistent picture
- Review this Snapshot monthly to stay on track with your investment and savings goals
- Add conditional formatting (e.g., red for negative cash flow) to make issues easy to spot
